We’re looking for a detail-loving, systems-oriented virtual assistant who can bring calm to the creative chaos—someone who thrives on organizing, refining, and optimizing behind-the-scenes operations, giving the founder the space she needs to stay creatively energized and forward-thinking.

This is not your average VA role. You’ll be a strategic partner helping to streamline business systems, support DTC sales growth, and enhance the online presence, primarily through Shopify and Instagram. If you love supporting creative entrepreneurs and are energized by optimizing processes and tech tools, you’ll love this job.

Hours: 15 hours/week to start (will taper to 8–10 hours/week)

Pay range: $30/hour (non-negotiable)

Contract or W2:  Contract

Location: Remote

What You’ll Be Responsible For

Inventory & Catalog Management

• Upgrade and manage inventory system
• Streamline and update product catalogs across platforms
• Ensure consistent and accurate product info across Shopify, Faire, and Etsy

Marketing & Online Growth

• Manage and optimize Instagram content strategy and posting schedule
• Support content creation for social media and email—writing copy, creating graphics, and helping bring brand storytelling to life
• Assist in transitioning from Klaviyo to a simpler Shopify-integrated email platform and manage ongoing campaigns.
• Create systems for capturing and converting leads through Shopify

System Optimization

• Reduce repetitive tasks by connecting platforms (e.g., Shopify + Faire)
• Set up efficient workflows for invoicing, shipping, and data entry
• Identify bottlenecks and propose improvements to simplify backend processes

• Have strong experience with small business marketing and Shopify
• Are tech-savvy, organized, and naturally systems-minded
• Understand the needs of creative entrepreneurs and love being the calm in their storm
• Have strong attention to detail and take pride in clean, accurate work
• Are confident in your ability to anticipate needs and take initiative without handholding
• Know how to bring a brand’s voice to life visually and strategically, especially on Instagram
