Job Description

We are looking for an organized, intuitive, and communicative administrator to manage our backend operation.  As our Transaction Coordinator and Back Office Administrator, you will support, help, and work with our real estate agents through day-to-day assistance, transaction coordination, and the facilitation, maintenance, and improvement of our backend systems. Responsibilities: Transaction Coordination • Own the transaction process from contract to close - approximately 120 transactions per year. • Maintain and update transaction timelines and workflows in ClickUp - Our Project Management Software. • Double-check and manage listings and offer paperwork to ensure accuracy and compliance. • Communicate with third parties - e.g., agents, vendors, and clients to confirm progress and resolve issues. • Assist agents with inspection requests and responses, providing additional administrative support. Systems Expert • Teach, maintain, build, and field questions on all of the backend technologies and systems that we use to facilitate day to day operations. • Ability to vet, learn, and implement new technologies, platforms, and systems. Virtual Assistant Management • Answer day-to-day questions and assign tasks to Virtual Assistants. • Organize and manage Standard Operating Procedures for team processes. • Collaborate on designing and implementing new workflows to improve efficiency. Administrative Support • Manage Internal admin channels and act as a gatekeeper for internal queries. • Promote office events, reminders, and social posts. • Prepare marketing material. • Assist with agent onboarding processes. KPI Scoreboard Ownership • Maintain the consistency and integrity of our performance scoreboard. Qualifications: Experience: • At least 2 years of previous experience as either: Real Estate Agent (sales) or Real Estate Admin Experience (such as but not limited to: Transaction Coordinator, Team/Office Admin). • Familiarity with real estate transactions and workflows (NJ-specific knowledge is a bonus). • Familiarity with common real estate platforms, such as MLSs, Dotloop, Showingtime, etc. Skills: • Strong organizational skills with attention to detail and ability to meet deadlines. • Excellent problem-solving and customer service abilities. • Proficiency or willingness to become proficient in tools such as ClickUp, Slack, LastPass, and Google Workspace. • Strong written and verbal communication skills. • Problem-solving skills to look through our SOPs and do research on problems as they arise if needed to help improve workflows. • Ability to prioritize tasks properly.
