The Role: Office Administrator with Growth Potential

(Full-time | On-site in Dixon, IL | Growth Opportunities)

Your Role in a Nutshell

As our Front Desk Administrative Assistant, you’ll be the face and voice of Trinity IFS. Your work creates a warm and professional environment and ensures efficient coordination that allows our clients and advisors to thrive.

In addition to your in-office responsibilities, you’ll also assist with setting up and supporting our monthly educational seminars—typically held twice a month in Dixon, Freeport, and Rockford, IL, from 6:00–9:00 PM. Your time and travel will be compensated , including paid mileage .

What You’ll Love to Do

1. Greet visitors warmly and manage front desk operations with professionalism.

2. Schedule and coordinate appointments with accuracy and attention to detail.

3. Keep the reception area clean, organized, and welcoming.

4. Maintain and update client records in Wealthbox CRM (training provided).

5. Answer phone calls and direct inquiries with a helpful, positive attitude.

6. Assist with general data entry and filing to keep things running smoothly.

7. Collaborate with the team to ensure top-notch client service and support.

What We’re Looking For

  • High school diploma or GED required.
  • Entry-level position—no prior industry experience necessary.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • CRM experience a plus, but not required (we’ll train you).
  • Excellent communication skills—written and verbal.
  • Positive attitude, self-starter, and service-oriented mindset.
  • A polished, professional appearance and demeanor.
